Training Event Checklist 4 to 6 Weeks Prior to Training¾ Return confirmation form (fax: 509-482-7994, e-mail: teenaid@teen-aid.org) Note: Training dates are not confirmed/finalized until forms are returned. ¾ Order training packets and teacher curriculum sets (An accurate count is needed as materials will be shipped as early as 4 weeks in advance). ¾ Schedule informational parent meeting – coordinate time with Teen-Aid office
4 Weeks Prior to Training¾ Verify lodging arrangements ¾ Send map of directions from lodging to training site to Teen-Aid ¾ Discuss implementation plans with Teen-Aid
2-3 Weeks Prior to Training¾ Complete and return Curricula Implementation Strategy Form ¾ Send teachers an actual invitation to the seminar (The pre-training communication will set the tone of the training, and the tone of the training will set the tone of the teaching. Rather than send a memo about the seminar, we suggest an invitation. The Teen-Aid program likes to invite the parents and students into the learning experience; we would like to do the same for the teachers. Remember to give teachers plenty of notice so that they can arrange their schedules). ¾ Reserve training room (Avoid as many of these distractions as possible: bells, student interruptions, intercom messages, early release schedules for participants). ¾ Reserve the following equipment for the training:
___ VCR ___ Overhead projector ___ Screen ___
White board or ___ LCD player
1 Week Prior to Training¾ Give materials to the teachers so that they can read them before the training and have specific questions ready ¾ Verify availability of equipment and technician if needed. ¾ Remind teachers and building administrators of training time and place.
Day of Training¾ Arrange training room (The training room should be comfortable for the size of the group with tables in a U-shape, if possible. They will be taking extensive notes, so tables are a necessity. A room without bells and intercoms is best). ¾ Provide refreshments for the morning and afternoon breaks (One hour for lunch is scheduled; suggestions for close eating establishments facilitate prompt return for afternoon sessions. Making training special sends a clear message that the participant’s efforts are valued).
After Training¾ Allow teachers to preview videos that were not viewed during the training. ¾ Schedule a time to debrief shortly after the in-service (Plan to evaluate videos and make specific plans for implementation according to district or building policy, and scheduling limitations). ¾ Teen-Aid will send call tags via UPS for the trainer’s personal training materials. Please hold the boxes until UPS picks up. ¾ The district is responsible for returning unused teacher training packets and curriculum sets to the Teen-Aid office for credit. ¾ Address boxes to: Teen-Aid, Inc. 723 E Jackson, Spokane, WA 99207
Teen-Aid will summarize the evaluations for a report to your board/community.
This Teacher Training Event Checklist will help you make the necessary arrangements for the training. If you have any questions, please call Ruby at (800) 357-2868.
